TERMS & CONDITIONS

As a guest at The Happy Pheasant we ask that you read and adhere to the following campsite terms and conditions. As the person making the booking, you have the responsibility to inform all users on your pitch of these terms and conditions; which must be adhered to. Our terms and conditions have been put in place to ensure that everyone has an enjoyable stay with us.

All payments made are final and non refundable so please read and follow our T&Cs below.

Bookings, Seasonal & Touring

  • Seasonal bookings are sometimes given the opportunity to pay monthly after a deposit has been paid. In this case you are still committing to the full seasonal contract and its terms, however we may in exceptional circumstances allow you to exit your contract for the sum of £500 as long as you have paid up to the end of the month that you plan to leave and a minimum of 2 month’s notice has been given.
  • Same sex parties of 3 or more persons are not accepted.
  • Touring Bookings are made between two dates no refund will be give if you leave early or are asked to leave early.
  • Electric Smartmeters are managed by a third party. The minimum topup is £10. We are not able to refund any over payments or money left on the meter when you leave.
  • Only the persons named on the originally submitted “Booking Request Form” are permited to use the pitch. 
  • Only Touring customers can change the date of their booking, for which there may be a £15.00 administration charge and it must be no sooner than 28 days before there stay and can only be moved to a date within the same season as your original booking.
  • Bookings cannot be moved to a Bank Holiday unless the original booking was for a Bank Holiday.
  • Bookings cannot be changed or moved on the day you are due to arrive.
  • Please be aware when making your booking that the weather is not guaranteed. Bookings cannot be changed because of a bad weather.
  • No refunds will be given once your booking has been made either for seasonal or touring.
  • Pitches and bookings are non transferable, once you give up your pitch a new “Booking Request Form” must be submitted, and contract terms may change.
  • Bookings are either 1 Car & 1 Caravan or 1 Motorhome/RV or 1 Campervan or 1 Car & 1 Tent. Additional cars, people and dogs can be booked.
  • Any amendments made to a booking may be subject to a £15.00 administration charge.
  • We are not responsible for any cancellations due to any pandemic illnesses; therefore, refunds will not be issued. You would need to claim off your travel insurance.
  • Touring minimum stay policy, 1 night for all pitches booked from Sunday to Thursday, 2 nights for all pitches booked from Friday to Saturday and 3 nights for all pitches booked over Bank Holiday weekends.
  • Seasonal minimum stay policy, as requested on your “Booking Request Form” 4 months for winter season, 8 months for summer season, 12 months all year.
  • Seasonal maximum stay policy, a maximum of 21 days per calendar month, 84 days during the winter season, 168 days during the summer season. (With the exception of park warden/security). Please note, this is a holday park not a residential caravan site.
  • Bookings must be made in advance we cannot accept cash on arrival.
  • Bookings are made between two dates no refund will be give if you leave early or are asked to leave early.
  • Single sex parties of 3 or more persons are not accepted.
  • Any additional people being added to your booking must booked in advance.
  • We are an Adult Only Park, meaning all guests must be over the age of 21, ID may be asked for on arrival.
  • You must have adequate insurance. Most insurance companies will cover you for the journey as well as for things such as fire damage, damage to another unit etc.
  • We do not allow 5th Wheel trailers, LMC, Hobby, Buccaneer, Tabbert, Travel King Caravans or any  caravans with doors on the right hand side”.
  • We only allow factory made/converted vehicles/units, we do not allow D.I.Y converted, roadside recovery vans, post or parcel vans, horse boxes, ambulances, mobis, ice cream vans, police vans or moriers, buses, welfare vans, or anything resembaling the mystery machine.
  • Strictly no generators on site they cannot be used on the site.
  • Non Electric Pitches may or may not have a Smartmeter. If, however there is a Smartmeter this can be used and topped up via our website.
  • Pay As You Go Electric Pitches you may top up you pitch Smartmeter via our website with as much or as little as you like, putting you in full control.
  • Under no circumstances, are you allowed to sell your unit from the park. Units must be taken off site for photographing and selling.
  • Outstanding balances for seasonal or touring must be paid in full before camping unit is removed from site.
  • We welcome any social media blogging videos and/or photos being take but we ask that you notify us first.
  • Gazebos must be booked and paid for, either at the time of booking or at check in. We only allow small gazebos, large event shelters or marquee type products are not permitted.
  • Electric hook up leads must be at least 5 metres in length to ensure that they will reach all our electric hook up points.
  • Electrical splitters are not permitted; there is only one electric lead per hook up pitch allowed.
  • Electric vehicle Charging is not permitted, at the park.
  • Electric patio heaters are not permitted, at the park.
  • We reserve the right to re-site any pitch for essential maintenance work or due to adverse weather and/or the ground conditions. Notice will be given wherever possible.
  • All extras must be booked and paid for prior to arrival as we may not be able to accommodate.
  • We reserve the right to refuse entry to the park without any reason.
  • Check out time is between 9:15am – 11:30am unless a late check out has been agreed beforehand. No check out before 9:15am.
  • Check in time is between 1:30pm – 2:45pm & 3:45pm – 8:00pm unless a early check in has been agreed beforehand. No Check in between 2.45pm and 3:45pm (school hours).

Pitches

  • All pitch numbers are clearly marked out with the pitch number on the flower box.
  • The pitches are marked out as a hardstanding rectangle.
  • Please ensure that you pitch correctly, your door must open on the left hand side and not onto the grass. You will be asked to move your caravan/tent/motorhome if it is not.
  • Awnings must not be pitched on the grass. However, they may line up with the start of the grass. 
  • We advise that awnings are taken down towards the end of the summer or before any bad weather. Any damaged caused by parts of your awnings or other stored items hitting property not belonging to yourself will incur a repair cost to you. 

BBQs/Fire

  • Fires and Fire Pits are strictly forbidden.
  • Gas BBQs can to be used on the hardstanding but not on the grass.
  • Charcoal BBQs can to be used on the hardstanding but not on the grass.
  • Ensure that all BBQs are fully extinguished before they are placed into a waste bin.
  • Never place a BBQ in a tent, awning, caravan or motorhome. Even a cooling BBQ gives off poisonous carbon monoxide (CO), which can kill.
  • Fire extinguishers are in the red boxes around the road.

Noise

  • This is a very quiet park and we like to keep it this way, please respect other. There must be no music, tv, radio, loud talking outside of your camping unit at any time day or night.

Waste and Recycling

  • All household and food waste is to be placed into the bins provided at the park entrance. Please ensure that all waste is placed inside a bag and that the bag is tied before being placed in the bins.
  • Only household non- recyclable and food waste is to be disposed of in the site bin. Items such as broken tents, chairs and camping equipment must be taken home with you.
  • Chemical waste from caravan/motorhome toilets must be disposed of in the green chemical waste disposal points (Elsan point).
  • Grey waste, not chemical is to be emptied down the drain on your pitch.
  • We have to pay for commercial waste collections at the park so unfortunately we can ONLY accept general waste. 
  • Please take home with you, your boxes, BBQs, Tents, Awnings, Used camping equipment, Cooking oil, and any other items that are not general waste

Security

  • A height restriction barrier is in place at the main entrance. Its height is 1.90m.
  • Barrier is there, to protect your property and to stop unwanted people entering our property, please don’t question its purpose or need.
  • Barrier locks you will not be give a key under any circumstances.
  • Barrier will be opened when you arrive and when you vacate. It will be locked for the rest of the time. We will open if required to allow you to leave during the day. The keys are held by the park manager/warden. As this is a manual opening barrier it can take up to 5 minutes to arrange for its opening. Access is available by calling 07852 701808.
  • You will not be allowed to enter the park unless you have called the manager on 07852 701808 to inform of your arrival.
  • Misuse of the barrier system, of any kind, will not be tolerated.
  • To ensure safety, we use CCTV with night vision. This will not be reviewed unless criminal activity has taken place.
  • Still, digital or video photography is not permitted in the facilities areas.
  • We will on occasions take photographs and/or videos around the site to be used for advertising, our website and social media pages. If you do not wish to appear in such photographs, then please inform the member of staff taking the photograph.

Vehicles/Driving

  • There is a 5mph campsite speed limit in place.
  • Strictly no vehicle movement on the site after 10:00pm this is for the safety of guests in tents and for guests who are sleeping. Please note that staff vehicles may be driven after this time to allow security checks and maintenance to take place.
  • If you need to leave the site between 10:00pm and 9:15am please ensure that you park your car off site in the area next to the red telephone box and walk to and from the car to your pitch.
  • Strictly no drink driving drink driving laws apply on all areas of the site.
  • Non driving licence holders are not permitted to drive anywhere on site.
  • You are not permitted to undertake driving lessons on the site.
  • Sign written vans/commercial vehicles are not permitted.
  • Highways vans/vehicles with chevrons are not permitted.
  • Loud exhaust vehicles are not permitted.
  • Vehicles must only be parked on your pitch hardstanding, strictly not on the grass.
  • Electric cars cannot be charged at your pitch; we do not have any specialised charging points.
  • Electric or petrol motorbikes, E scooters, hoverboards, segways, go-peds, powered unicycles and u-wheels are not permitted to be used on the site.
  • No motorbikes scooters, quad bikes, motorised or remote-control vehicles are to be used on the site.
  • Electric cycles are permitted for over 18’s only and are to be used on the tracks only. All electric cycles in the UK are subject to an assisted speed limit of 5mph. After this speed the bike can be ridden quicker, but the rider will no longer receive assistance from the motor. You are not riding on private land; the campsite is classed as public highway.
  • Cyclists must not ride close to individual pitches; they must stick to the tracks where possible.
  • Bicycles can only be ridden during daylight hours; we advise the use of helmets at all times.
  • Bicycles must be parked safely, securely and sensibly on your pitch.
  • Bicycles are kept on site at the bike owner’s risk.
  • Vehicle details must be updated on our system by emailing them to us should they change.

Dogs

  • Well behaved dogs are ONLY welcome on the campsite; and they must be kept on a 1 metre short lead at ALL times.
  • Dogs must be tied to a firmly fixed dog lead post on your pitch. Please ensure that it/they cannot move off your pitch area and onto another pitch.
  • When the dog walking area is available and no other guests are using it your dog can be let off its lead for a run around.
  • You must clean up after your dog in all areas of the site, including the dog walking area.
  • Dogs must not to be left unattended on the site at any time.
  • Dogs are not permitted to go in the facilities block at any time, with the exception of assistance dogs.
  • You must not use any of the wash facilities to clean your dog.
  • Should your dog be considered a nuisance by management due to barking for long periods; you will be asked to leave immediately and your booking will be cancelled without any refund.
  • Should your dog be considered a dangerous by management or/and a risk to others; you will be asked to leave immediately and your booking will be cancelled without any refund.
  • You, as a dog owner are responsible for your dog and it’s behaviour and any damage it causes will be your responsibility.
  • We take no responsibility for any injuries caused to any animals whilst on the site.
  • Please ensure that all dog waste is picked up immediately and disposed of in the correct bin. Please check when you are leaving that all the mess has been cleaned up.
  • Please make sure that you have adequate insurance for your dog.

Grass and Shrubs

  • Strictly no driving on the grass what so ever. There are shallow drains that will be damaged. You will be asked to leave immediately and your booking will be cancelled without any refund.
  • Strictly no parking on the grass. There are shallow drains that will be damaged. You will be asked to leave immediately and your booking will be cancelled without any refund.
  • Do no pick or damage any flowers or shrubs. You will be asked to leave immediately and your booking will be cancelled without any refund.

Health & Safety

  • Unacceptable offensive or illegal behaviour will not be tolerated under any circumstances. We may ask you, or any member of your party, to leave immediately if your conduct is considered by us to be inappropriate, likely to cause harm or impair the comfort or safety of other customers, staff or the general public, or is likely in our belief, to breach any of our terms and conditions. No refunds or compensation will be given in these circumstances.
  • Drugs will not be tolerated under any circumstances if you appear to be using drugs of any kind then you will be asked to leave the site and the police will be contacted immediately.
  • Cannabis is an illegal drug; if a member of staff smells cannabis on a person or at their pitch, or it is reported by another guest, the police will be called immediately and your entire party will be asked to leave the site.
  • Smoking and vaping is not permitted in the facilities block.
  • Fireworks Chinese lanterns and all items deemed as offensive weapons (such as guns, knives, laser pens etc) are not permitted on site.
  • Confetti cannons are not permitted to be used on site.
  • Drones and metal detectors are not permitted to be used on site.
  • Projectors and screens are not permitted to be used on site.
  • Anyone found to be tampering with the electricity supply will be removed from the site immediately, along with the rest of their party. The Police will be involved and all costs will be recovered.
  • Anyone found to be steeling electricity will be removed from the site immediately, along with the rest of their party. The Police will be involved and all costs will be recovered.
  • Caravans, motorhomes, tents, trailers or vehicles are not permitted to be washed on site.
  • Any item that causes an obstruction to the grass cutter or strimmer will be removed from the pitch and disposed of if not collected.
  • Self-standing rotary washing lines are permitted, they must be put away when not in use. Do not tie washing lines to the trees, fences or posts on the site.
  • Water balloons and confetti are not permitted to be used on site, they are both extremely harmful to the birds and wildlife.
  • Flags and pole lights are not permitted due to health and safety risks.
  • Under no circumstances are you allowed to cut any trees or hedges.
  • Please do not climb up any trees or cause any damage, some of our trees are protected.
  • Guests must not carry out any trade or business from the site.
  • Guests must not carry out any sales or exchanges of any kind on the site.
  • Guests must not sell there caravan or car or tent or motorhome or camper van on site
  • Guests must not instruct caravan service or repair people do drive their vehicles on site. They must park off site or arrange for the unit to be collected and work carried out elsewhere.
  • We recommend that you use appropriate footwear and exercise caution during events of inclement weather. Areas of the site may become slippery due to factors such as rain, ice or mud.
  • All accidents must be reported to a member of staff at reception and documented in the accident book.

Visitors

  • Please notify us of your visitors; they must be pre-booked and cannot just turn up. This is on a first come, first served basis.
  • No additional dogs are permitted.
  • Visitors are allowed on the park between 12:00pm and 8:00pm.
  • When your visitor arrives at the park, they will told where to park (please ensure that they do not block the barrier).
  • Only one car(with up to 2 people), is permitted per pitch and all campsite regulations must be followed.
  • Please ensure that you have your visitors name, mobile contact number, car registration number when booking them in and payment must be made at the time of booking.
  • Visitors must leave on time. Please ensure that you end all activities,
  • Visitors are not permitted to stay overnight and must take their car off site.
  • Any visitors who arrive that haven’t been pre-booked will not be allowed access to the site. Due to data protection we are unable to contact you if a visitor turns up without being booked on.
  • Anybody found to be bringing visitors on to the site without registering them at reception will be instantly asked to leave; alongside all of their party. Due to health and safety recommendations, this will be taken very seriously.
  • Visitor rules also apply to our seasonal and touring pitches.
  • Please ensure that you advise your family and friends of the changes so that they do not have a wasted journey.

Disclaimers

  • We take no responsibility for any failure to the electric or water supply due to Supply failure, acts of God, adverse weather conditions etc.
  • Any failure to the electric or water supply will be dealt with as a priority; however, please be aware that it may be an issue out of The Happy Pheasants control and there may be a time delay whilst waiting for an engineer to attend the site and conduct the repair, this could be up to 48 hours.
  • Any tents, trailer tents, caravans, motorhomes, campervans, awnings or vehicles and their contents left unattended at any time are not the responsibility of The Happy Pheasant and are left at the owners’ risk.
  • The Happy Pheasant and its employees shall not be held responsible for any accident, loss, damage or theft to persons, vehicles, caravans, motorhomes, campervans, tents, trailer tents, contents or accessories, however caused.
  • Any damage caused by any circumstances to personal belongings is not the responsibility of The Happy Pheasant or its employees.
  • The main person named on a booking is responsible for the entire party for the duration of their stay. This person will be the main point of contact and is responsible for ensuring that all members of their party are familiar with and adhere to the terms and conditions.
  • Any damage caused by guests must be paid for. The main lead on the party is responsible for any payments that are to be made due to damage.
  • Any guest causing a nuisance, being irresponsible or a danger to others will be asked to leave immediately and will be banned from coming back to stay at The Happy Pheasant. Any future bookings they have made will be null and void and are non-refundable.
  • The management reserves the right to refuse admission to the site for any person, fees are non-refundable.
  • The management reserves the right to make changes to the terms and conditions at any time.
  • We expect all of our staff and guests to act in a courteous and considerate manner to anyone staying, visiting or working at The Happy Pheasant. Threatening behaviour of any kind towards our staff will not be tolerated.

Liability

  • Nothing in this section limits or attempts to limit our liability for death or personal injury caused by our negligence or for fraud or fraudulent misrepresentation, or for any other matter for which it would be illegal or unlawful for us to exclude or attempt to exclude our liability.
  • If we fail to comply with these Terms we are responsible for loss or damage you suffer that is a direct and foreseeable result of our failure or our negligence. We shall not be responsible for any losses that you suffer that are indirect or not foreseeable, including, but not limited to, loss of income or revenue, loss of business and loss of anticipated savings.
  • Where we are responsible for your loss, our maximum liability shall not be more than the amount paid by you for your stay.
  • We are NOT responsible for theft, vandalism, damage, break ins, burglaries to any of your property.
  • Our Campsite is located in a rural environment, so by leaving your property, it is taken that you accept full responsibility for any damage or inconvenience caused by any animals, plants, trees, wildlife or weather.
  • Should any vehicles or camping units require moving or towing, we shall not be held responsible for any damage caused.
  • We do not accept responsibility for anything that adversely affects your stay that is outside of our control.
  • These Terms are governed by the laws of England and Wales
